The Administrative Assistant, under the direction of Maintenance/Housekeeping Supervisor, is responsible for providing administrative assistance with the development, planning, organization, day-to-day operations, and budgeting for the Facilities Department.

 

ESSENTIAL FUNCTIONS: (includes, but is not limited to, the following)

 

  • Prepares disbursement vouchers, tax assessments, and work logs.                                                         
  • Enters inventory receipts, inventory issues and inventory physical counts into accounting software.   
  • Develops staffing schedules and assigns daily tasks.                                          
  • Collects cash from commercial sales and maintains and reconciles petty cash. 
  • Aids in negotiating and developing annual leases.                      
  • Maintains and assesses department needs for space at tribal facilities.
  • Enters payroll for Facility team members.
  • Orders inventory and assists with inventory counts and makes arrangements for delivery of product. 

           

ADDITIONAL RESPONSIBILITIES: (includes, but is not limited to, the following)

 

  • Orders supplies for the Facilities Department and Chippewa Service and Supply.                                
  • Schedules appointments for external carpet jobs, window cleaning, and floor maintenance jobs.         
  • All other job related duties as assigned.

 

CONTACTS:           

 

Immediate peers, peers in other departments, immediate supervisor/manager, managers in other departments, executives, Board of Directors, customers and outside vendors/service providers.

 

PHYSICAL REQUIREMENTS:

 

Position medium with lifting of 50 pounds maximum and frequent lifting/carrying up to 25 pounds. Physical factors include constant use of hearing/midrange vision, frequent standing, walking, sitting/carrying/pushing/pulling, climbing, stooping, reaching, use of smell, field of vision, bending and typing; and occasional sitting, kneeling, crawling, use of depth perception and color vision. Working conditions include frequent exposure to weather and occasional exposure to extreme heat/cold, wet/humidity, noise and vibration. Potential hazards include frequent exposure to moving mechanical parts, chemicals, computer use, equipment and occasional exposure to high exposed places, insecticides/pesticides and infectious exposure.

 

 

REQUIREMENTS:

 

Education: High School diploma or equivalent required.

 

Experience: Minimum of 2 years administrative experience required.

 

Certification/License: Will be required to complete and pass pre-employment drug testing.

 

Knowledge, Skills and Abilities: Must have working knowledge and be able to use office machines, such as calculator, copier, fax, printer and computer. Must have working knowledge and be able to use word processing and spreadsheet and data base software. Must have knowledge of or be able to learn to use timekeeping and accounting software.  Must have knowledge of general maintenance and housekeeping functions. Must have excellent organization skills; organizing work, prioritizing tasks and managing time. Must have excellent communication skills and be able to communicate clearly in person, in writing, and by telephone and email.  Must be able to work with minimal to no supervision.  Must be able to exercise good judgment and initiative. Must be able to establish and maintain an effective working relationship with supervisory personnel, coworkers, subordinates and the general public. Native American preferred.
