POSITION SUMMARY:

The Secretary, under the direction of the Resident Services Manager, is responsible for providing clerical and administrative support to the Resident Services staff, including ordering office supplies, reception duties and newsletter development. This position serves as the Recording Secretary for the Housing Authority and Utility Authority Board of Commission.

ESSENTIAL FUNCTIONS: (includes, but is not limited to, the following)

  • Answers phones, directs calls, takes messages and greets customers.                                               
  • Coordinates Housing Authority and Utility Authority Board of Commission meetings and agendas, prepares meeting packets, resolutions, travel documents, transcribes meeting minutes, and coordinates complex tasks as requested.                                                                          
  • Provides clerical support for the Resident Services Department; i.e. preparing letters, correspondence and reports and filing.                                                                               
  • Processes requests, orders and distributes office supplies for all Housing Authority team members.          
  • Responsible to develop, format, edit and mail the Resident and Homeownership newsletters.       
  • Coordinates, develops and mails items such as surveys, flyers, letters, and other bulk mailing projects.     
  • Logs and routes outgoing and incoming mail and facsimiles.                   

ADDITIONAL RESPONSIBILITIES: (includes, but is not limited to, the following)

  • Maintains policy and procedure binders for Housing Service programs.                                          
  • Accepts rental/utility authority payments as needed.                                                            
  • All other job related duties as assigned. 

CONTACTS:  

Immediate peers, peers in other departments, immediate supervisor/manager, managers in other departments, customers and outside vendor/service providers and Housing Authority and Utility Authority Board of Commission.

PHYSICAL REQUIREMENTS:

Position sedentary primarily sitting/lifting a maximum of 10 pounds.  Physical factors include constant typing; frequent sitting, use of hearing, near/midrange/far vision and occasional standing, walking, carrying/lifting/pushing/pulling, use of smell and depth perception, color field of vision, and travel. Working conditions occasional exposure to noise.  Potential hazards include constant computer and equipment use and occasional exposure to electric shock, insecticides/pesticides and client contact.   

REQUIREMENTS:

Education: High School diploma or equivalent required.  Associates Degree in Office Administration preferred.

Experience: Minimum of 2 years of secretarial experience required.

Certification/License: Will be required to complete and pass pre-employment drug testing.

Knowledge, Skills and Abilities: Must have working knowledge and be able to use word processing, spreadsheet, desktop publishing and database software. Knowledge of Microsoft Office Suite preferred.        

Must have working knowledge and be able to use office machines, such as calculator, copier, fax, printer and computer. Must be able to communicate effectively both orally and in writing. Must be flexible and available to work various shifts, including nights, weekends, and holidays as needed. Must be able to establish and maintain an effective working relationship with supervisory personnel, coworkers, and the general public. Must be able to work in a busy environment and handle stressful situations. Must have organizational skills and be able to plan, prioritize and manage work load to meet goals in a timely manner. Must maintain confidentiality. Native American preferred.
